Objectives :

  • Accountable for the Administration & Office Facility support to platform.
  • Overall in charge of Real Estate activity at Site, including Office Upkeeping, Renovation, Expansion.
  • Main Tasks :

  • Ensure all environmental, health and safety rules and guidelines are being adhered to and maintain high safety standards and a safe working environment in Administration function.
  • Support the implementation of Management System (ISO 9001, ISO 14001, 18001, ISO TS 16949 and Process Safety Management) by practicing them accordingly to ensure full compliance with the requirements.
  • Lead the Administration department to have necessary skilled manpower, equipment, facilities and materials needed to operate.
  • Formulating training programs to ensure that the staffs in Admin receive adequate trainings and have needed competencies for their respective tasks.
  • Establish policies and ensure that the department has good working procedures, documentation, work instructions and guidelines in order to operate the above facilities and to take good care of their condition properly.
  • Liaison and coordination with Local Authorities on company licenses and ensuring there are no overdues.
  • Development and monitoring standard Admin KPIs in order to increase the effectiveness and efficiency of administrational activities.
  • Monitor & manage a diverse range of administrative and general office support services functions includes monitoring of stationary and other office supplies.
  • Preparation of yearly Admin budgets and reviewing costs at regular basis to ensure within budgets.
  • Management of expenses by Admin department to ensure the costs of providing services to site are kept to optimum level.
  • Review regularly the Admin Department cost drivers and the cost allocations to ensure that all costs are correctly allocated and charged to respective cost center.
  • Manage & evaluation 3rd party service provider with related KPI to ensure service efficiency.
  • As key person to liaise with Real Estate department of Head Quarter on Land & Office Facility matter.
  • Manage Office Upgrade Project, including building extension, office upgrade or renovation, etc.
  • Manage the upkeep of office. Fully responsible for the repair & maintenance of Office to ensure all office in good condition.
  • This requires communication to the maintenance team or external Contractors for Office service & repair.

  • Back up Secretary on Meeting & Logistics arrangement.
  • Be responsible for Administration;
  • Be responsible for Real Estate;
  • Be responsible for cultivating healthy working culture / environment toward BASF Competencies.
  • Be responsible for people management, training and career development, succession planning of Administration / Secretary function.
  • Requirements :

  • Bachelor’s degree in Administration or equivalent field.
  • Minimum 5 years’ experiences in Administration field.
  • Good knowledge in Company Administration & Real Estate matters
  • Knowledge of Company & Office Administrative Legal Licensing
  • Good in Work Management
  • Computer literate Microsoft Application
  • Good communication in oral and written in English
